Embryology Administrator / Technician  (Full Time)

Job Description


Role summary:  

To provide general administrative and laboratory support to the Embryology Department.

This role is full time, working Monday to Friday with the occasional weekend to assist the embryology team/patient information events.


1. Providing an excellent customer service experience to patients by answering patient enquiries and distributing unanswered queries to the embryology team.

2. To be responsible for the daily management of the cryo-management system including producing, checking and sending the relevant communication to patients before the storage (of sperm/eggs/embryos) expire, followed by updating the consent/ contract/ payment information on the database to reflect the patients decision. Ensuring that the Embryology team are made aware of the responses and the appropriate action is taken. 

3. Maintaining and updating accurate system records by assisting with general audits and performing checks of stored samples, including cryo checks for frozen sperm/ eggs/ embryos and recording checks on the database.

4. To provide accurate information to the HFEA by assisting with the rolling verification of CARE data through the EDI System and by checking, correcting and sending off all HFEA forms, as requested by the HFEA.

5. To be responsible for donation processes including administrative processes surrounding local donor sperm store, working together with embryologists for the import / export of frozen sperm, eggs or embryos. Ensuring that any donors and external providers receive outcome reports.

6. To perform routine laboratory procedures including preparing gradients/culture dishes for use in laboratory procedures, diagnostic semen analysis and semen samples for treatment and cryopreserving semen samples.

7. To undertake laboratory maintenance, stock checks and ordering, including arranging repairs with external contractors and maintain the batch control system.


1. To comply with the Human Fertilisation and Embryology Authority’s Code of Practice, the Health and Social Care Act 2008 (Regulated Activities) Regulations 2014, the Care Quality Commission (Registration) Regulations 2009 and the General Data Protection Regulation, with special reference to patient confidentiality.

2. To comply with the Health and Safety policies with particular reference to procedures to be followed in the event of a fire and to report all accidents and untoward incidents to the Health and Safety officer.

3. To undertake mandatory training as required, including health and safety, fire, manual handling.

4. Actively participate in CARE’s performance management processes and competency assessment processes.

5. To comply with Witnessing, Infection Control, COSHH, GLP and CARE policies and procedures.





Job Requirements



• Educated to at least GCSE level, with passes in English and Maths.


• NVQ Level 3



• Proven administrative and organisational skills

• Relevant office experience


• Working within a quality standards system, such as ISO

• Experience in maintaining staff records



• Strong IT and keyboard skills

• Proficient with Microsoft Office products

• Able to work on own initiative and prioritise workload effectively

Interpersonal Skills


• Able to communicate effectively over the telephone, face to face and in writing

• Excellent team working skills

• Sensitive to patient needs



• Awareness of confidentiality and ability to work in a confidential setting


• An understanding of the HFEA and CQC ability to work in a confidential setting
